4 Purpose of personal data processing

The register is used for applying for IMAGO coaching and collecting customer feedback. Information stored in the register is also used for measuring service performance, reporting and development. Based on participation in IMAGO coaching, the registered person/company may be sent information about other services and events for companies and employers by the TE Office, ELY Centres, KEHA Centre, Talent Boost network, Business Finland and Work in Finland. Data subjects’ data are not used for other purposes.

5 Data content of the register

The register may contain data on data subjects according to the following classification:

• Name, e-mail address and phone number of the person participating in coaching
• Name and business ID of the company participating in coaching
• The company’s field of business and location
• Other background information provided by the entrepreneur or the company’s representative on the company’s situation and service needs

6 Regular data sources

The register is compiled from data reported by the client entrepreneurs who have applied for coaching. If the client is found in the TE Services’ information system URA or in the public administration’s joint CRM system, this information will also be used as a data source to ensure that the client belongs to the intended target group of the service.

7 Regular disclosure of information

The controller does not disclose personal data of data subjects to third parties, except when required by the Finnish authorities. Personal data are not disclosed outside the EU or the European Economic Area. After the service provider has received the registration, the data provided by the client is disclosed to the TE Services by encrypted e-mail. The service provider shall be responsible for complying with the procedures required by the current data protection legislation and the provisions on the processing and protection of personal data.

8 Principles of register protection

The data provided by clients is collected in Webropol databases, which are protected by firewalls, passwords and other technical and contractual means. Databases and their backups are located in locked facilities.

Data is transferred from the Webropol database to the IMAGO coaching service register. The data will be retained confidentially. Only the employees of TE Services and ELY Centres who need to process the data in their work can log in to the system in which the register is located with their usernames and passwords. The data networks and hardware on which the register is located are protected by a firewall and other necessary technical measures.

Participation in the service is also recorded in the URA information system, which is the customer register of the Employment and Economic Development Office, and its controller is the Ministry of Economic Affairs and Employment of Finland and the Employment and Economic Development Offices. There is a separate privacy statement on the register (KEHA/1516/2017).

Additionally, participation in the service is recorded in the KasvuCRM information system. KasvuCRM is the public administration’s joint system in which the parties who store data in the personal data register each serve as controllers of their data and are responsible for ensuring that the data they have saved are correct and up to date. 9 Right of access

The data subject has the right to access the register data concerning them. Requests for access must be submitted to the Pirkanmaa TE Office’s registry, address below. The controller shall, without undue delay, give the data subject access to the register data and, upon request, provide the data in writing. The data is stored in the register for a maximum of 10 years after the entrepreneur has registered.

10 Right to demand rectification of data

Data subjects shall be entitled to demand for rectification of erroneous data in the register. The request for rectification must be made in writing and the data to be rectified must be specified in the request. Any requests for rectification must be submitted to the Pirkanmaa TE Office’s registry at:
